PRIVACY POLICY
Brownsea Open Air Theatre (BOAT) is committed to protecting personal information. This Privacy Policy relates to our use of any personal information that we collect from you when you become a Member of BOAT or Supporter in any other capacity. It also concerns information held on our Patrons Mailing List and BOATers' Mailing List. A Supporters involvement includes (but is not limited to) set build, costume, props, publicity, front of house, stage management, sound, lighting, direction and catering. We recognize that as a voluntary theatre group a number of personnel will act as a Supporter whilst also a full Member.
Personal Information
For Members and Supporters we collect and securely store basic personal details such as your name, address, e-mail address, telephone number(s).
For Members of the active production for the current year, we will also take your photograph and ask you to provide a biography. (see Security below).
In the case of Patrons, in relation to any sales we will keep your name, address, e-mail address and telephone number(s) and, for those giving their approval to be on our newsletter mailing list, we store your name and e-mail address for the purpose of the distribution of the said newsletters. BOAT does NOT have any access to any personal financial details.
How we use the information
In the case of Patrons and BOATers we will use the said information to conduct ticketing requests and send you newsletters or e-mails to pass on details of shows and / or events that may be of interest to you.
Members’ details will be used to transact the business of BOAT with reference to the production of current and prospective shows. In this respect your name together with your photograph may appear in our show Programmes, newsletters and promotional material for publicity purposes. Your information may also be shared with BOAT Trustees, and relevant Heads of Department for the efficient conduct of our core business. This use is in our “Legitimate Interest”. You will be aware that our show Programmes are public documents and that our newsletters are shared amongst our membership and supporters. We will not share your personal information with a third party without your consent.
We may use member's and patron's data for market analysis and research purposes. We may also share such data with trusted third parties for the same purpose. Where data is shared for this purpose it will be anonymised to protect your identity.
Security
We have put in place reasonable security measures to protect against any unauthorized access or damage to, or disclosure or loss of, your information. In particular, with regard to information held on members for the years current production, BOAT will retain that information for that year, namely the period between the Inaugural meeting for that show and the same meeting for the following year’s production. At the end of this annual period we will opt to delete details held unless the Member wishes to have their details transferred to and / or stay on the BOATERS Mailing List.
Your Rights
You can ask us to remove your personal information from our records at any time. To do so, contact us at the address below. This right is supplementary to any recent contact you may have had from us concerning our retention of your details.
You also have the right to request a copy of all the personal information we hold about you in a “Subject Access Request”. To do this, simply contact us at the address below. We will take all reasonable steps to confirm your identity before acceding to your request.
Please let us know of any changes to your personal details. It is important that the information we hold about you is accurate and current.
Changes to this Privacy Policy
From time to time we may need to amend this Policy, for example to keep it up to date or comply with legal requirements. If any such change significantly alters our use of your data in a way that is at variance from the policy statement we will seek your permission first.
